Logistics & Truck Operations Officer (Remote – Zambia)

Job Purpose / Role Summary

The Logistics & Truck Operations Officer will be responsible for managing the day-to-day operational activities of the company’s trucks, ensuring profitable load sourcing, regulatory compliance, efficient coordination of transport services, and support in procurement and vendor management. The role is critical to maximizing truck utilization, maintaining compliance, and supporting the overall growth and efficiency of the business.

Key Responsibilities

1. Truck & Logistics Operations

• - Manage and coordinate daily truck movements and schedules.
• - Actively source and negotiate profitable loads to maximize truck utilization.
• - Liaise with clients, brokers, and agents to secure transport assignments.
• - Track deliveries and ensure timely and safe completion of trips.
• - Handle driver coordination, communication, and basic performance follow-up.

2. Business Development & Contracts

• - Identify and pursue transport contracts (short-term and long-term).
• - Build and maintain relationships with shippers, freight forwarders, and logistics partners.
• - Assist in preparing quotations, proposals, and basic transport agreements.
• - Monitor market rates and recommend competitive pricing strategies.

3. Compliance & Regulatory Management

• - Ensure all trucks are compliant with road, safety, and transport regulations.
• - Monitor validity of licenses, road taxes, insurance, permits, and driver documentation.
• - Maintain organized digital records for trucks, drivers, and regulatory requirements.
• - Flag compliance risks early and support corrective actions.

4. Procurement & Vendor Support

• - Assist with procurement of rated services, including fuel, repairs, tyres, insurance, and tracking services.
• - Source quotations from suppliers and support cost comparison.
• - Maintain supplier and service provider records.
• - Support cost control initiatives and operational efficiency improvements.

5. Administration & Reporting

• - Prepare regular operational reports (loads moved, truck utilization, revenues, and costs).
• - Maintain accurate records using spreadsheets and basic logistics tracking tools.
• - Support invoicing follow-ups and documentation related to completed trips.
• - Communicate operational updates clearly to management.

Required Qualifications & Experience

• - Minimum of 1 year’ experience working in a logistics, transport, or trucking company.
• - Strong understanding of truck logistics operations, load sourcing, and transport coordination.
• - Experience dealing with transport contracts and freight negotiations is an advantage.
• - Knowledge of compliance requirements for commercial transport operations.
• - Experience working in or with Zambian logistics operations is strongly preferred.

• - Ability to work independently and manage multiple tasks remotely.
• - Good problem-solving and decision-making abilities.
• - High level of integrity, reliability, and attention to detail.

Technical & Computer Skills

• - Proficient in basic computer tools, including:
• Microsoft Word
• Microsoft Excel / Google Sheets
• Email (Outlook / Gmail)
• - Comfortable using WhatsApp, phone calls, and online tools for coordination.
• - Ability to quickly learn basic logistics or fleet management systems.

Working Conditions

• - Remote work at the beginning.
• - Must be available during standard business hours.
• - Occasional after-hours coordination may be required due to transport operations.
• - Preference for candidates based in Lusaka or Ndola for ease of industry networking and potential future office-based work.
